# Information gathering

## Prerequisites

Before gathering information, ensure the following steps are completed:

### Define annotation attributes

Annotation attributes must be set up to categorize and extract relevant information. Refer to the [Define annotation attributes section](/docs/getting-started/inclusion-process/define-annotation-attributes.md) for guidance on configuring these attributes.

### Process PDF to Document-AI

To leverage manual and AI-powered data extraction, ensure that your PDFs are properly prossesed to Document-AI. You can process PDF fulltext from the "PDF" page of the document page.                                                                                     &#x20;

PDF processing relies on a third party service. PDF processing may take a few minutes, and the final layout of the document may not be optimal.

## Create an annotation

Annotations allow users to highlight and extract key information from documents.&#x20;

To create an annotation navigate to the "Document-AI" tabs of the document page.

On this page, the right sidebar consists of three sections:

* (1) A toolbar providing access from left to right to:
  * Annotation attribute management,
  * A view with all document annotations,
  * A list of attributes whose collection has been marked as mandatory,
  * The deletion of the Document-AI instance.
* (2) A section for defining an attribute and its value, which will be linked to the current annotation.
* (3) A section for adding a comment associated with the current annotation.

To create an annotation just select the text you want to annotate and click the "Save" button. If you also want to define an attribute for this annotation, first select the attribute type and then set its value. Do the same for add a comment.

## Update/delete an annotation attribute

To modify an existing annotation attribute click on the annotation you wish to edit on the document. In the "Selected annotation" panel click on the edit button of the attribute you want to edit. Update the attribute value and save your changes.

In the "Selected annotation" panel you can alse delete an annotation attribute.

## Add an attribute to an existing annotation

You can enhance an annotation by adding additional attributes. Once the annotation you want o enhance is selected just create a new attribute.

## Delete an annotation

Once an annotation is selection you can delete it via the "Delete annotation" button.
